Medical billing is often one of the most time-consuming administrative burdens for healthcare practices. Entering repetitive service codes, diagnostic (Dx) codes, and visit details for routine patient encounters consumes valuable clinic hours and increases the risk of manual entry errors that cause claim rejections.
To solve this, OSCAR Pro utilizes Super Codes—a powerful billing macro feature designed to automate, simplify, and standardize invoicing workflows.
What Are Super Codes in Medical Billing?
Super Codes act as custom billing templates that bundle multiple service codes, default diagnostic codes, and specific visit details into a single, quick-selection tool. Instead of manually searching for and attaching individual billing codes for routine procedures, administrative staff or practitioners can select one Super Code to populate an entire invoice instantly.
Super Codes are particularly effective for high-volume or multi-code encounter types, such as:
- Routine Preventive Care & Immunizations: Combining primary encounter codes with vaccine tracking fee codes (e.g., flu shot clinics).
- Virtual Care Appointments: Bundling standard virtual consultation codes with secondary virtual tracking codes.
- Complex Chronic Disease Management: Grouping primary assessment billing codes with specific preventive management or counseling codes.
Key Features of Super Codes
- Central Placement: Located conveniently in the center of the Invoice Creation page for rapid access during encounter closeout.
- Type-Ahead Search: Built-in smart search allows staff to find saved billing templates instantly by typing the template name.
- Pre-Populated Defaults: Automatically applies optional default parameters, including Diagnostic (Dx) codes, Visit Type, Site Number, and Service Location Indicator (SLI) codes.
How to Apply a Super Code to an Invoice
Applying a pre-configured Super Code to an invoice requires only a few clicks during patient checkout:
- Search and Select: On the Invoice Creation page, use the type-ahead search bar in the Super Code field to locate your target template.
- Automatic Invoice Generation: Selecting the Super Code automatically loads all attached service codes, billing quantities, and default parameters directly into the claim.
- Review and Customize: Staff can review the populated line items and adjust quantities, fees, or diagnostic codes if a specific encounter requires modifications before saving.
- Save the Claim: Click Save & Close or Save & Next to finalize the invoice.
Creating and Managing Super Codes in Billing Settings
Customizing Super Codes to fit your practice’s specific workflow is managed within your EMR billing settings.
Accessing Super Code Management
- Open the Invoice Creation page.
- Click the Gear Icon in the top-right corner to launch Billing Settings.
- Select the Super Codes tab from the split-window navigation.
Creating a New Super Code
- Assign a Name: Enter a distinct, recognizable title under Super Code Name (e.g., “Virtual Appointment” or “Flu Vaccine Clinic”).
- Add Service Codes: Search your database to select and attach all service codes to include in this macro.
- Adjust Quantities: Set default billing quantities for each attached code if it differs from a single unit.
- Set Visit Defaults: Assign optional default fields such as Diagnostic (Dx) codes, Visit Type, Site Number, or SLI Code.
- Save: Click Save to add the macro to your clinic library.
Managing Existing Super Codes
Under Manage Super Codes, active templates are displayed alongside quick-action icons on the right side:
- Pencil Icon (Edit): Loads the Super Code into the editor to add/remove service codes or change visit defaults.
- Trash Can Icon (Delete): Permanently deletes the selected Super Code.
- Plus (+) Icon (Quick Add): Applies the Super Code directly to the current invoice without leaving the settings menu.
Important System Rule: Super Code names cannot be edited once created. If a title change is necessary, you must create a new Super Code with the updated name and delete the previous entry.
Best Practices for Clinic Super Code Optimization
- Standardize Template Names: Establish consistent naming conventions so clinicians and administrative staff can locate templates using type-ahead search instantly.
- Audit Routinely: Review Super Codes annually or whenever ministry schedule of benefits updates occur to ensure service codes and fee structures remain compliant.
- Pair with Frequent Diagnostic Codes: Pre-populate default diagnostic codes for standardized visits to save additional keystrokes on high-volume clinic days.
