How to Bill Ontario WSIB Claims in OSCAR Pro

Quick answer: To bill a WSIB claim through OHIP in OSCAR Pro, open the billing page for the appointment, change the bill type from Bill OHIP to WSIB, select your service codes, enter the diagnostic code, and click Save and Close. The invoice is included in your next OHIP claim file, and the Ministry of Health forwards it to the Workers’ Compensation Department for processing.

Ontario clinics that treat injured workers need to bill the Workplace Safety and Insurance Board (WSIB) for work-related care. OSCAR Pro supports two ways to bill WSIB claims. This guide covers the most common: billing WSIB through OHIP, where claims go through your regular Ministry of Health (MOH) submission. It also explains how to confirm the claim in your simulation file and where to find the WSIB forms you may need.

WSIB Billing Through OHIP: An Overview

When you bill WSIB through OHIP, you create the invoice almost exactly like a standard OHIP claim. The key difference is the bill type. Setting it to WSIB tells OSCAR Pro to assign the claim to the Workers’ Compensation Board pay program.

The claim is sent to the MOH with your regular OHIP claim file, and the MOH forwards it to the Workers’ Compensation Department. You don’t need a separate submission process, which keeps WSIB billing inside the workflow your team already uses.

Step 1: Open the Billing Page From the Appointment

In the schedule, click the B icon beside the patient’s appointment to open the invoice creation page.

Step 2: Change the Bill Type to WSIB

At the top of the billing page, the bill type defaults to Bill OHIP. Change it to WSIB.

This is the most important step. With the WSIB bill type selected, the invoice is included in your simulated OHIP file and in the generated OHIP file you submit to the ministry, with the correct pay program attached.

Step 3: Add Service Codes and the Diagnostic Code

Complete the invoice as you would a standard OHIP claim. Select the service codes for the care you provided, and enter the required diagnostic (Dx) code.

Step 4: Save and Close the Invoice

Click Save and Close. This finalizes the invoice and updates the appointment to billed status.

Verifying the Claim in Your Simulation OHIP File

Before you submit, confirm the WSIB claim appears correctly in your simulation file.

On the left side, go to Administration, then Billing, and click Simulation OHIP File. Select your date range and click Create Report. The bill you just created should appear in the list. Open it by clicking the account number, and you’ll see the pay program listed as Workers’ Compensation Board.

That confirms the claim is set up correctly. It will be included in your submission to the ministry and forwarded to the Workers’ Compensation Department once received.

Adding and Completing WSIB eForms

WSIB may require supporting forms in addition to the invoice. If the forms you need aren’t already in your clinic’s eForm library, search the eForm Repository in the help portal and add them to your library.

To complete a form, open the patient’s clinical chart by clicking the E. Your eForms are listed on the left side. Open the WSIB eForm you need, fill it out, and fax it as needed.

Tips for Smooth WSIB Billing

Always check the bill type before saving, since it defaults to Bill OHIP and an unchanged invoice won’t go to WSIB. Run the simulation OHIP file before every submission and confirm WSIB claims show the Workers’ Compensation Board pay program. Finally, add your most-used WSIB eForms to your library ahead of time so they’re ready when an injured worker comes in.
